PRESIDENT

The President provides overall leadership for the Club and helps ensure it operates effectively, consistently, and in line with its constitution. The role requires a sound understanding of the Club’s rules, governance obligations, and meeting processes.

Key Duties

·       Act as an authorised signatory for legal and financial matters, including oversight of the Club bank account and payments made

·       Represent the Club publicly or with external parties when required

·       Prepare and present the President’s annual report at the Annual General Meeting

·       Chair Committee and General Meetings, ensuring meetings are well run, focused, and effective

·       Make sure the Club’s asset register is kept up to date

VICE PRESIDENT

The Vice President supports the President and assists with the smooth administration of the Club. When required, the Vice President steps
in to provide leadership and continuity.

Key Duties

·       Step into the President’s role if the President is unavailable or unable to carry out their duties

·       Act as deputy chair for Club meetings

·       Follow up on agreed actions and resolutions to ensure they are completed

·       Help ensure Club procedures, records, and key documents are kept in good order

·       Carry out other responsibilities as requested by the Committee

SECRETARY

The Secretary plays a central role in coordinating the Club’s administration. This position helps keep the Club organised and provides an important communication link between the Club, its members, and other stakeholders.

Key Duties

·       Maintain Committee records and ensure Club records are properly managed, including minutes from monthly meetings

·       Coordinate the administrative tasks needed for the day-to-day operation of Club activities

·       Keep relevant documentation for registered members accurate and up to date.

·       Manage incoming and outgoing Club correspondence

·       Prepare and regularly update the Club calendar of events.

TREASURER

The Treasurer manages the Club’s financial administration, including processing financial transactions as approved by the Club executive, maintaining accurate financial records, and keeping the Committee informed about the Club’s financial position during the year.

Key Duties

·       Oversee the Club’s financial affairs

·       Act as an authorised signatory for the Club bank account and monitor payments made

·       Prepare and maintain financial statements in accordance with External Reporting Standards (XRB)

·       Provide financial reports to the Committee

·       Maintain the Club’s financial records using Xero

·       Work with the Secretary to distribute, collect, and bank Club funds
